Customer Service Support (CSS) Specialist

Our CSS Specialist is a facilitator of our quality customer experience and operational excellence. They ensure that all customer and vendor-facing processes are flowing efficiently by balancing priorities, managing concurrent projects, performing administrative activities and coordinating schedules and details. They employ solution-based thinking and execute with a sense of urgency.

CSS Specialist Duties & Accountability

  • Provide support to customers, vendors, the warehouse, the Sales team and the Customer Service team.
  • Perform various clerical and administrative activities, including document production, calendar management, inquiry response (phone, email or other), call and message routing, product and package mailing, document and sample management and presentation development.
  • Fill-in for other positions as needed to ensure excellent customer service and business reputation.
  • Greet and assist office visitors.
  • Collaborate with Sales team to engage with customers and resolve any issues that arise throughout the quoting and order workflows.
  • Process, update and monitor customer orders while ensuring accurate order status within company systems.
  • Notify relevant stakeholders of any changes.
  • Review artwork proofs prior to sending on to customers, Sales team or manufacturers.
  • Perform other duties as assigned.

To qualify for this position, a CSS Specialist must:

  • Have basic reading, writing and arithmetic skills. This is normally acquired through a high school diploma or equivalent.
  • Have 1+ year of experience working in a customer-focused and fast-paced professional environment.
  • Have effective organization, communication and presentation skills.
  • Be able to maintain a professional appearance and present a positive company image to the public.
  • Be computer savvy, be proficient in Microsoft Office Suite applications and be able to learn and use the company’s contact management software.
  • Be competent in reviewing and proofing documents and samples.
  • Be able to sit for extended periods of time, stoop, kneel, bend at the waist and reach on a daily basis. Be able to lift up to 25 pounds occasionally. Be able to work through noise and distraction.
  • Be dependable, arriving on-time and when scheduled.

Administrative Assistant/Receptionist

Our Admin. Assistant provides a full range of front office administrative and clerical support as well as warehouse support. They also provide key support to the CEO and company staff and sets the tone of engagement for visitors and callers. They expertly balance friendly interactions with effective and efficient execution of company standards and role responsibilities. They are resourceful, supportive and assertive. The Admin. Assistant/Receptionist acts as the gatekeeper and enables the CEO to focus on strategy and leadership. To perform this job successfully, an individual must be able to perform each primary responsibility satisfactorily.

  • Stuffing and adding postage and mailing sales thank you cards
  • Any letter or packets that staff needs put together and mailed out
  • Clearing prospects
  • Helping with additional projects for orders
  • Maintaining vault, self-promo and eCommerce site samples
  • Managing breakroom cleaning schedule and emailing out reminders for each month
  • Watering plants weekly
  • Email staff anniversaries and birthdays
  • Advise supervisor of any issues to ensure excellent customer service
